What is Painless Manufacturing?
An all-in-one platform for wholesale manufacturers of configurable products that sell through dealers. It combines a configure-price-quote (CPQ) engine, a branded dealer ordering portal, work orders and shop-floor tablets, inventory and purchasing, shipping and delivery routes, invoicing, payments, and accounting in one system.
Do we have to replace QuickBooks?
No. Painless pushes invoices and payments to QuickBooks Online, and on the Everything plan it can also push bills, inventory, and journal entries. The sync is one-way: Painless sends, QuickBooks receives. A few documents, like invoices with sales tax or an applied deposit, still need entering in QuickBooks by hand; the Accounting page lists exactly what syncs. Full accounting, so you can retire QuickBooks entirely, is expected in late 2026, and parts of it are in Painless today.
How is this different from enterprise CPQ?
Enterprise CPQ is built around large sales teams, usually priced per seat, and implemented over months with a separate ERP behind it. Painless is built for small-to-mid manufacturers: the configurator, the dealer portal, the shop floor, and invoicing are one system, priced on invoice volume, and live in weeks rather than months.
How is it different from a dealer ordering portal?
Catalog portals let dealers reorder fixed SKUs. Painless prices a product built to the dealer's exact size and options, stops invalid combinations before they are submitted, and turns the order into a work order with the BOM and routing already on it.
How long does it take to go live?
Weeks, not months. The timeline depends on how many product lines you bring on first. We scope it in discovery, and you get the plan and a fixed implementation price before you sign. Many manufacturers pilot with a few dealers before inviting the rest.
What does it cost?
Ordering is 0.5% of invoice volume with a $1,500 monthly minimum; Everything is 1% with a $2,500 minimum. You pay whichever is greater, the minimum starts when you sign, pro-rated for your first partial month, and there are no seat licenses. Implementation is a one-time fixed quote, typically $10,000 to $25,000 depending on how many product lines we set up. Card and ACH payments carry Stripe's standard processing fee plus a small Painless payment fee set in your agreement; dealers pay nothing extra. If you choose, a digital service fee on each dealer order can pass some or all of your Painless cost on to your dealers, at a rate you set per dealer. Background automation (reminders, statements, syncs, replenishment scans) is included and not metered. AI usage (Account Assistant and Product Studio) is billed after the fact on your monthly invoice.
Will our dealers actually use it?
Dealers get a portal with your brand on it, open 24/7, showing their own price as they configure. They can check order status and ship dates, pay invoices by card or ACH, pull spec sheets and price books, and build branded quotes for their own customers. You can turn on portal ordering dealer by dealer, starting with a few.
Can you import our existing price sheets?
Yes. Product Studio reads Excel and CSV price grids cell by cell and turns them into price tables after you confirm. It can also read photos and PDFs of your order forms to draft the configuration. Price tables are saved only after you confirm them, and configuration changes wait as drafts until you activate them.
What hardware does the shop floor need?
Tablets with a modern browser at the stations you want to run paperless. Shop users sign in with a PIN, no email needed. Label printing works with Zebra, Brother, Dymo, and CUPS printers through a small print agent on a Mac or Raspberry Pi. Printer setup can be quoted separately if you want us to handle it.
Is there a long-term contract?
Not on standard plans: you can cancel anytime, and fees already incurred are still due. High-volume manufacturers can choose a custom plan that trades a volume or term commitment for a lower rate.
